An applicant is any student or professional who is looking for a university, research institute or company to continue education, find an internship, visit labs and more. In Academentory the applicants will find professors, scientists, and administrators that advertise their open positions by running “Position search”. At the same time, professors will be able to discover applicants by running “Student search” in their menu. Students can apply for positions, answer position specific questions during the application, and exchange direct messages with professors.
It is highly recommended to an applicant to complete his or her profile. This information is used by professors and administrators in their search and AI algorithms that match students and positions. Many studies conclude that incomplete applications do not attract enough attention. Complete applications have much better chances to be discovered during the review process. Even if an applicant with a complete profile is not a good fit for a certain position, it is not rare that professors forward such applications to their colleagues who might be interested.
How to start:
1. If you do not have an account with Academentory, open Academentory.com, click “Sign in” and the “Sign up”. You will receive a verification email. After verifying it, you will need to login with your email and password.
2. We recommend starting by completing your profile. No field in the profile is mandatory. If you think that some information is sensitive, do not add it! We stress that Academentory does not use your information for any goals except showing it to professors and administrators that are looking for students. You can update your profile at any time.
The profile contains five tabs. After completing each tab, click “Save updates” at the bottom of the page.
General Info tab. As the name suggests, this tab contains only general information. Note that while adding countries of citizenship and residence is not mandatory, some funding agencies or special types of educational grants may require hiring students from specific countries. Click “Save updates” at the bottom of the page.
Education Info tab. Here you need to add your degrees. In the bottom of the tab there is a link to upload your transcript. Click big circled plus to add another degree. Click “Save updates” at the bottom of the page.
Common Test Scores tab. In addition to the common test scores used in many schools you will be able to add your tests that are not mentioned there. Click “Save updates” at the bottom of the page.
Interested In tab. This tab is very important. There are several free text fields which usually attract the professor’s attention. Explain who you are, what you are interested in, etc. Make your case! Convince the professor or administrator that you should be hired. Click “Save updates” at the bottom of the page.
Uploaded Files tab. Here you can submit any documents that you want to attach to your applications. Examples include resumes, grades, certificates, awards, and your papers. Do not submit your passports, driver licenses, immigration documents, birth or marriage certificates and other personal information. They are not relevant to your application. If discovered, such personal documents will be deleted. Click “Save updates” at the bottom of the page.
3. Applicants can search for positions by clicking “Position Search” in the upper right corner menu. Open the position by clicking the “Full Info” button or the position title. In the full description of the position you will have the “Continue to apply” button which will open a page with additional questions related to this position. It is important to answer these questions as they are prepared by the position owner. Finally, click “Apply for this position” at the bottom of the page.
Important: You can always change your answers and reapply with a new version!
4. If you have applied for a position, you can exchange messages with the position owner (i.e., professors or school administrators). Click “My Applications” in the upper right corner under your name and open a page of your applications. Select your application (if you have more than one) and under your answers you will find a messaging system. In addition to the text messages you can also send files by clicking a paper clip icon. Responses from professors will appear on the same page.
5. Notifications of responses will appear on the bell icon in the upper right corner. It is important to mention that professors and administrators may indicate that they are interested in you even if you do not submit an application. In this case you will also find a notification bell on, so check often!
